Invites

Invite a colleague by email, what happens for people with and without an account, how long an invitation lasts, how to withdraw one, and what the invited person sees.

Updated October 30, 2026 · Checked against On My Radar build 2c4905d

This page covers inviting a colleague by email, what the invited person goes through, and how to take an invitation back. You need to own the radar or topic you are sharing.

Invite by email

You invite someone by sharing a radar or a topic with their email address. There is no separate invite screen.

  • For a radar: open it, choose Settings, open People & links, and use Share with a person.
  • For a topic: open the topic and use Add person in its People section.

The steps are in Sharing and roles. What changes is what the server does with the address:

  • The address has an account. The person is added straight away at the role you picked. The first time you share, they get an email and an entry in Activity. Nothing needs accepting. No link is involved.
  • The address has no account. The server stores an invitation for that address and emails a link. You see a message that starts "Invited" and names the address. The invitation shows in the member list as "invite pending".

Only a person signed in to the app can invite an address that has no account. An agent acting for you is refused with a message saying so. The reason is that an invitation is an email sent in your name to someone who has never heard of On My Radar, and it cannot be unsent. An agent whose connection holds the publish-and-share permission can still share with colleagues who already have accounts, as viewer or editor.

What the invited person sees

The email says who shared what, with a button labelled Accept the invitation. If they have no account it also says what will happen when they sign up.

The link opens an address of the form /invite/ followed by a long code. The page shows:

  • who invited them, and whether it is a radar or a topic
  • the name of the radar or topic
  • what the role allows: an editor is told "You will be able to read it and capture into it." A viewer is told "You will be able to read it."
  • a sentence about their account, which depends on the case below

Under that is the usual sign-in form: Email address, then Send me a code. They enter the six-digit code from their inbox and choose Sign in. There is no password. If the organisation has single sign-on set up, there is also a Continue with button.

The link does not sign anyone in. It only fills in context. The person still has to receive a code at the invited address. An invitation belongs to the address it was sent to, so signing in with a different address does not claim it.

New people and the waitlist

A new account either goes straight in or waits on a list. Which one applies depends on how On My Radar is set up for you. The invitation page and the email both tell the person which case they are in.

An account goes straight in when any of these is true:

  • Signup is open, so every new sign-in is let in.
  • The address is on the operator's list of administrator addresses.
  • The address, or its domain, is on the list of addresses that are approved automatically.
  • The invitation was sent by an On My Radar administrator, who is still an active administrator when the person signs in, and the invitation is under 14 days old.

Otherwise the new account joins the waitlist. The invitation page then says: "New accounts join a waitlist, and this will be waiting for you the moment you are approved." While waiting, the person sees a page titled "You are on the list". It lets them in on its own when they are approved, and they also get an email.

The radar or topic is attached to the account when they sign in, even if they are still waiting.

If you share with someone who already has an account but is still on the waitlist, and you are an administrator, the share also approves them. The app tells you: "Shared with" and the address, "and let them into On My Radar". If you are not an administrator, the share is saved and they are not approved by it.

Expiry

An invitation link works for 14 days from the moment the invitation was first created. After that:

  • The link stops working. The page shows: "That invitation link is no longer open — it may have been withdrawn, or it may simply have expired. Signing in with the address it was sent to still works."
  • The invitation stops skipping the waitlist.
  • The share itself does not expire. If the person signs in with the invited address later, the radar or topic is still added.

Sharing again with the same address changes the role and sends the email again. As written, it does not restart the 14 days. If you want a fresh 14 days, withdraw the invitation and share again.

The same expiry also covers an invitation that was already used, was withdrawn, or points at a radar that has since been deleted. All of those show the same message, and the page does not say which.

Withdraw an invitation

Only an owner can withdraw an invitation.

  1. Open the radar, then Settings, then People & links. For a topic, use its People section.
  2. Find the row marked "invite pending" and choose the remove button next to it.
  3. Choose Withdraw invite.

The dialog explains: "The link in their email stops working." The invitation is deleted. If the person signs up later, they will not be added.

If the person has already signed in with that address, the invitation is no longer pending. They are an ordinary member and you remove them the usual way.
